How we do (and don’t) use the data we collect

AidCamps International (“we”, “us”) is committed to maintaining the trust, confidence and the privacy of our volunteers, supporters, partners and stakeholders. This privacy policy sets out how we collect, use and protect information which you provide to us.

We may change this privacy policy from time to time without notification and therefore advise you to regularly review this policy when you visit aidcamps.org (“our website”).

1. Obtaining and using your personal information

1.1 In running and maintaining our website we may collect and process information provided voluntarily by you (for example, when you join our mailing list, make a donation or register as a volunteer). If you do not want your personal data collected, please do not submit it to us.

1.2 We will also collect and hold information about any contact you have with us by any means which may include:

(a) donor/gift aid status, including payment details where applicable;

(b) participation in our volunteering projects;

(c) communication preferences;

(d) details of correspondence sent to you or received from you;

(e) any other information provided by you at our request connected to your involvement with us as a volunteer and/or as a donor.

1.3 When we ask you to provide your personal information we will let you know why we are asking and how we will use your data by directing you towards this policy.

1.4 Depending on your relationship with us and the preferences you have indicated, data we hold may be used to send you promotional, marketing or fundraising information by post, telephone or electronic means. These types of communications can include:

(a) news and updates about our activities;

(b) occasional targeted requests to consider supporting us in various ways;

(c) other relevant communications based on your relationship with us.

2. Mailing lists

2.1 When you join our mailing list, we collect you name and email address which we will use to keep you informed about our activities and how you can support us. We never pass this information on to other organisations. We also collect location data to better understand our supporters and where they are. Our lawful basis for processing this information is your consent given when joining our mailing list.

2.2 You can unsubscribe from our mailing list at any time by clicking the unsubscribe link at the bottom of any of our emails or by contacting us using the contact details at the end of this policy. When you unsubscribe, we will stop mailing you within seven days of your request but will keep your personal information, including a record of when you unsubscribed, for up to two years as evidence that we previously had your consent to communicate with you.

3. Donation information

3.1 When you donate to us, we collect personal information from you including your name, address, email address and payment information. Our lawful basis for processing this information is our contract with you and our legal obligation. We do not have access to the payment card details you provide.

3.2 We use third-party providers, PayPal (registration fees for projects) and JustGiving (all other donations) to manage online payments. To find out more about how this data is used, please read PayPal’s privacy policy and JustGiving’s privacy policy.

3.3 We will share your personal information with HMRC, in order to claim gift aid, and other organisations where we have a legal obligation to do so. We retain your personal information for six years after the end of the accounting period when your last donation was received as part of this legal obligation.

4. Volunteer information

4.1 When you volunteer with us, we collect personal information from you including your name, address, email address, telephone numbers, passport details and health data. Our lawful basis for processing this information is our contract with you. We also collect payment data, which is processed as set out in section 3 Donation Information.

4.2 We will share personal information such as passport and visa details, emergency contact details and health data with the NGO partner we are delivering the volunteer activity in conjunction with in order to deliver our contract with you. As our NGO partners are based in the countries where we deliver our projects, this will involve the transfer of information outside the European Economic Area (EEA). While countries outside the EEA may not provide the same protection for your personal information as the UK, we will take steps to ensure that your information is used by third parties in accordance with this policy.

4.3 We retain your personal information for up to two years after you have volunteered with us. We will retain information required for our accounting records or gift aid purposes as set out in section 3 Donation Information.

5. Sharing your personal information

5.1 We do not generally share, sell or distribute personal data to or with third parties except other than in accordance with this policy and in the circumstances detailed below:

(a) where we are legally required to disclose your personal information;

(b) to further fraud protection and reduce the risk of fraud.

6. Cookies

6.1 In addition to asking you to submit personal information, we may collect information about you automatically when you connect to our website. This information is not personally identifiable and includes general information about your computer settings, your connection to the internet, your browsing patterns and your geographical location.

6.2 We may collect the above information through the use of cookies. A cookie is information which is sent to and stored on your computer when you first visit our website, and allows us to identify your computer(but not you) the next time you visit our website. We may use the information collected in this way to adapt our website so that it better suits you and your interest (for example, to allow us to provide a possible “Volunteers” feature).

6.3 Most Internet browsers give you the option to reject all cookies, accept all cookies, erase cookies stored on your computer or be notified before a cookie is stored on your computer. You will need to refer to your Internet browser instructions to find out more about these options and how to use them. Without cookies enabled, you may not be able to use certain features on our website.

7. Security and records

7.1 Subject to paragraph 7.2 below, we strictly protect the security of your personal information and your choices regarding the use to which it is put. We use current industry standard technology to maintain the confidentiality and accuracy of the information you provided to us.

7.2 No data transmission over the Internet can be entirely secure, and while we will always use reasonable endeavours to protect your personal information, we cannot guarantee that any information you submit to us will be free from unauthorised third party intrusion. Therefore, we cannot guarantee the security of your personal information and of your use of our website.

7.3 We cannot guarantee that our website is free from viruses or malicious codes. You agree that it is your responsibility to satisfy yourself that your own information technology is protected against such viruses and/or codes.

7.4 We may monitor and/or keep records of email communications which you send to us in the interests of our activities and in accordance with this policy.

8. Other websites

8.1 Our website may contain links to other websites. Please be aware that this privacy policy relates only to information collected by us through our website, and we are not responsible for the practices of such other websites. When you leave our website you should ensure that you familiarise yourself with the privacy policies of websites you visit which collect information about you.

9. Your legal rights

9.1 In addition to our safeguards as detailed above, your personal data is protected in the UK by the Data Protection Act. This provides, amongst other things, that the data we hold about you should be processed lawfully and fairly. It should be accurate, relevant and not excessive. The information should, where necessary, be kept up to date and not retained for longer than is necessary.

9.2 You can ask to review the personal information we hold about you and ask us to change or delete any of this information. You can do this by contacting us by email, telephone or post at the addresses shown below in paragraph 10.2.
